Privacy, in plain words.

What we collect

From the Clinic Check form: your state, clinic type, number of locations, clinic business name, your name, work email and, if you add them, a phone number and a promo code. With each request we also store the time it arrived, the country Cloudflare reports for the connection, and a one-way hash of your IP address, used only to stop abuse.

From the free compliance calendar: your work email, state, clinic type and, if you add it, your clinic name, plus whether you ticked the box to get follow-up emails and when. The same time, country and IP-hash details are stored to stop abuse.

From clients: business documents such as certificates, plans and training rosters. Never patient information. Please don’t send it; if some arrives by mistake, we delete it.

How we use it

To prepare and send your Clinic Check, reply to you, and provide the service you sign up for. We don’t sell your information, and we don’t send marketing email without an unsubscribe option. We don’t send automated emails from the Clinic Check form. If you download the free calendar and tick the box, we may send you a few emails about compliance deadlines and our service; each one has an unsubscribe link, and if you leave the box unticked we won’t email you about it.

Where it’s kept

This site and its form run on Cloudflare (Cloudflare Pages, with Clinic Check requests and calendar sign-ups stored in Cloudflare Workers KV). Access is limited to our team.

How long we keep it

We keep your information while we have a business relationship with you, or until you ask us to delete it. You can ask any time at hello@clinicfilinghq.com.

Cookies and analytics

We don’t set cookies. We use Cloudflare Web Analytics to count visits; Cloudflare describes it as not using cookies or local storage to track visitors. If we turn on Cloudflare Turnstile (a bot check) for the form, Cloudflare processes signals from your browser to tell people from bots.
